THIS DOCUMENT IS PROVIDED TO HELP YOU UNDERSTAND THE PROCEDURE TO ADD OR EDIT UNIT, PHASE AND HOLD INVENTORY. IF YOU HAVE ANY PROBLEMS ACCESSING ANY OF THE PROGRAMS THAT ARE LISTED IN THIS DOCUMENT, CONTACT YOUR SUPERVISOR, OR THE "SYSTEMS ADMINISTRATOR" WHO MADE YOUR LOGIN POSSIBLE.
Project Menu
Enter the two letter project code to edit a project. Or enter a two letter code if you want to add a project and you have permissions to do so.
Before adding a project go into Venue Maintenance and add the venues for the developer and the physical address of the project. For club membership this may be the same items.

The first item on the menu is "Phases", this will automatically be highlighted for you when access the program. Simply press <ENTER>. This is the option to "EDIT" an existing phase, or "ADD" new phases. You will then be given a choice of "View/Edit Phase" or "Add New Phase". Highlight the desired selection, and press <ENTER>.
View/Edit Phase
When you enter into this selection, you will be required to "Enter Phase", enter in the phase code that you desire. You then will be presented with an update screen like the following illustration.
Adding a new phase will automatically prompt you for a Unit to put it under and some inventory to add along with it. You will not do EOY addition at this point. It is covered under splitting whole inventory

The fields will automatically be entered in for you, according to the information that was entered when this Phase was "ADDED" to the inventory. Make the necessary changes, then press <ENTER>. This will bring you to the next field. When all corrections are entered, simply press "F2" to save the updated information.

When "ADDING" a new phase, you are required to input information in ALL fields. After entering data in each field, press <ENTER>, which will take you to the next field.
- Project: Enter the name of the Phase project. E.g. "West", "Villas", etc.
- Phase Code: Enter in the code name for this phase, generally these are either numerical, or Roman numeral.
- Name: The full name for the phase. E.g. "Phase Two", etc.
- 1st Avail Date: The date in which this phase is available for occupancy. Usually when the project has received all necessary occupancy dates.
- Day of Week of Occupancy: In this field, you will need to determine what day of the week the owners will begin their occupancy, and number 0-6 for the corresponding day. E.g. "Sunday" 0, "Monday", 1, etc.
- Maint Fee: Enter in the amount of "Maintenance Fees" for the units in this Phase.
- Recording Book: This is the book that holds the records of this Phase in your county courthouse.
- Page: The page of the Records Book, held at your County Courthouse.
- Every Other Year: Enter "Y" for this availability, and "N" for yearly units.
- Even Unit Code: This is generally represented by the code, "E".
- Odd Unit Code: This is generally represented by the code, "O".
- # Of Units: Enter the entire number of units, that are registered in this phase.
- # Of Shares/Unit: If this is a "YEARLY" phase entry, then the number would be 52, for 52 different weeks. If this is a "biannual" entry, the number could be up to 104, etc. # # Of Shares Usable: If any units are designated for offices, maintenance, etc... remember to omit them from this entry.
- Share Name: Most often used name here is called "Week".
- Exch Comp: Enter in the major used "Exchange Company" in this field.
- Alt Exch Comp: Enter in any other exchange companies in this field.
When all information is completed, check the entries, then press "F2" to save the new phase entry. NOTE* If you find a mistake, after saving the information, you may go into the "EDIT EXISTING PHASE" to make any corrections that are needed. Follow the procedure outline for section "1.1".

UNIT
This option is used to edit a particular existing unit information. When you highlight this and press <ENTER>, you will be presented with a screen like the following illustration.

- 1st Occ. Date is the first available occupancy date for this Unit.
When you enter into this screen, you will be required to "Enter in the Unit". You may edit only the "EXISTING UNITS" in this menu. To "ADD" new units, please refer to illustration "3".
The information that was entered at the time of "ADDING" this particular unit, will be displayed on your screen. Make any necessary changes, then press "F2" to save the information.
INVENTORY MAINTENANCE
Under this menu is where you may view or edit ALL existing inventory, or separate inventory into biannual units, and ADD new units or weeks to your inventory. The information that is entered into this menu, should be done carefully, as mistakes can cause the entire inventory program to malfunction.

VIEW/EDIT EXISTING INVENTORY
Upon entering this menu option, you will be prompted to "Enter Unit", enter the number of an "EXISTING UNIT". You will be prompted to "Enter Week", enter the week that you desire to edit, and press <ENTER>. Your screen Your screen will then display the following illustration. NOTE* The background of this screen cannot be updated in this menu, offering a view of the "PHASE & UNIT" parameters for reference only.

- List Price: Enter in the unit sale price in this field. This is a required field.
- Bottom Price: Another required field, you may enter the "Bottom Price" that is allowed to sell this unit.
- Maintenance Fee: Enter in the fee for maintenance for this particular unit.
- Release Fee: Enter any "Release Fees" in this field, this is not a required field, and you will be able to press <ENTER>, to proceed to the next field.
- Status: This field will automatically have an "A" placed for you, if the unit is NOT AVAILABLE, you will then need to place a status of "S" in this entry, and proceed to the next field.
- If the status of this unit is an "A", (available) then do not edit this field, but proceed to the next field by pressing <ENTER>. If this unit has a "S" (sold) status, then the contract number will be required to be entered, before you may proceed.
When all information is CORRECTLY entered, you may save the new unit/week entry by pressing the "F2" key. You will then be brought back to the above illustration, to continue with another unit/week entry.
EOY ADDITION TO EXISTING INVENTORY

BEFORE YOU MAY MAKE ANY ADJUSTMENTS OR ADDITIONS IN THIS MENU, YOU WILL NEED TO EDIT THE "UNIT", FOUND IN THE ILLUSTRATION "2", OF THIS DOCUMENT. FOLLOW THE PROCEDURE LISTED EDITING UNITS, THEN PROCEED WITH THIS MENU OPTION.
When you enter into this menu option, your screen will clear, and the message indicating the system is "Opening Files" will be displayed on your screen. You will be required to "Enter Unit", enter in the unit that will be split, and press <ENTER>. You will then be required to answer, "OK to ADD EOY'S to (unit number) -W Y/N?", press "Y" to continue, press "N" if you have incorrectly typed in the wrong unit.
NOTE* You MUST type in the whole unit code, to proceed. E.g. when entering into this menu, you would type unit number 100-W, not 100-E. The system will automatically bring up the EVEN and ODD units for you to individually edit.
