  • Sales line MTD on web reports- upgrades are not reflected in here the week they were sold. Does it reflect in overall volume? Where can I find that tagged?
This is a FLASH report which means ... of the tours in the list how many sales were generated. A tour for an upgrade would have had to be in the range that was selected for it to register. It would be counted on the day of the original tour. if that was Feb 28 and the original sales was 9,000 and the upgrade was for 4,000 then that tour, that day generated 13,000 in volume total forever. Useful for gauging the performance of the sales line and what they did with the tours they were given in that timeperiod. If the upgrade was an independent marketing effort (such as an upgrade program) the new effort should be reflected by creating a new tour (new sales pitch) for the upgrade. However if the upgrade was due to saving a cancelation (downgrade) or the buyers changed their minds and wanted a bigger unit then ... YES that is part of the origianl marketing effort made on the day of the tour. In a STAT report the tours and the sales would be counted individually. That is for accounting purposes (not performance) how much volume was added to todays sales (fulldown or written depending on the report type) regardless of if they toured today or any other day. An example of a STAT report is the Market Source Recap, Total Sales Persons Report, The BIG Sales Generation Report (by Market Source)
  • Are the sales reports which show full down and pending sales dynamic (meaning if it's a pender yesterday and becomes full down today the sales report reflects the full down volume with that pender)?
There are no reports that show 'Full Down' data and 'Pending' data. That's an old trick I have seen in the old days. Count it once when pending then count it again when it goes full down. 'Written' reports gross numbers never change (hopefully), the net number is dynamic as cancelations will creep (and hopefully not stream) in. That's because the written date is the written date, it stays the same, so the selection is going to always select the same batch of contracts. However, the disposition, (currently Full Down, Cancelled, closed, paid in full) will change over time. Penders in Written reports degrade over time to zero, either become full down or cancel. 'Full Down' Reports, gross Full Down between two dates will stay the same, but once again cancellations will eat into that. Full Down reflects 'real' deals that can be funded on after recision, there fore written as full downa and became full down are part of count. 'Cash Flow' is the most stable, two separate selections are done (three including tours) that are melanged together. Full Down date for the Gross, subtract those deals that cancelled in THAT period regardless of date fulldown or written are removed from that number to get the net.
  • How can I get more data on the penders - when payments are supposed to be made, if they are made, comments, etc.
Contract report, Penders only. Web report, Pending Deals. Both of the above reports theoretically degrade to the number zero for a given date range over time. Because their status either becomes FullDown OR you cancel them. For those old hands that liked to count penders coming and going, and actually have real numbers The Market Analysis Recap report will help sort out the summary of Deals Originally Written as Penders or FullDown, the Pending to good rate and the very very important debated stat, cancellation rate of those deals written as FullDown and those Written as Pending. Not on the web reports. Remember the old wise, "You get what you focus on". Focus on pending contracts and you may end up with more of them.
  • Sometimes contracts are deleted. I prefer that the system allow no contract ever be deleted, but status changed with comments. What do you think?
Shhh, it's a secret. They are never cacnelled, only X'd (status changed to X) out. Hopefully the managment accumen requrires a note (comment) to be entered every time there is a customer contact. Contract surfing on the web is fun and safe to do, pull up a contract, then click Previous Day or Next Day, to see what notes have been entered. Hopefully notes on every contract. I think that same day X outs are reasonable and necessary, "kicked in deeding" or verification, is a real situation if the deeder/vlo is doing their job. If someone cancels an hour after they left, well, it really kicked in deeding. Each user can be assigned a grace period, usuall 1 to 3 days. Only extremely reliable administrators should have anything else. A full report and permissions for our team at the office to X out older stuff should be in place. FYI: Cancellation ability should never be granted freely. Action Notice ability can be grated freely, as it is revocable.
  • Inventory reports - it looks like pending biennials do not show as penders. Correct?
I never look at P for pending deals on the inventory report. The inventory is sold, end of story. The P's were put on for inventory hungry Project Directors eager to waste penders (the P's on this report also mean pending recision) for what they think is a hot new buyer. Because the markers for Biennials are marking what is available (E or O) then placing a P there would obscure the bienniality of the available inventory.
