Reporting Discussion
One of the things that sets Magna apart from the 'others' is the diversity of reports. However, at times, the choice and detail amongst reports makes it confusing. Timeshare is a complex process, there is no getting around it. "Old Hands" in the business make it look easy, but there are many dynamics at work.
Let me recap, just the number of ways to look at "Tours coming in the door, and the result". Here are the elemental thoughts in the mind of the sales manager throughout tour booking, registration, sales and monthly reporting process. Each is a different set of information, ie) different totals, factors and summations come from each moment. To make it more confusing, the sales manager, project director and others at many other places are mostly unaware that they are view the information differently. David Saltrelli who originally specified these reports to me in the mid 1980's, I believe, was unaware of it. It was David and Barry Seagul, at Westgate, that got me to realize that there were multiple ways that they looked at the information, depending on the the time frame realative to the touring and sales process. Barry used "Full-Down" to bonus and motivate, "Written" was used to figure out who to fire, those at the bottom were the most likely.
Time Period, Thinking Process or Question, Report Type
This should be a table
- Before tours arrive, "How many tours per wave, sales reps, TO's are booked and what percentage will show?", Bookings to Shows
- Tours are arriving, "How many people checked in? Waiting for Reps? Out on tour?",Bookings to Shows (Solicitor Flash)
- Tours have been out for 90 minutes or more, "Of the people who have checked in, who are at TO's (no one enters this)? How many purchased? How many have left? (AKA, whats the performance of the sales line with the tours that have arrived, what have they done with them? Who is wasting tours?)", Registered tours who purchased (Sales Line Flash, neither Written nor Fulldown)
- PD or developer calls throught the day to checkup,"How many SALES? (It is really the only question that should be answered)", Written Sales (List Todays Sales)
- Breakfast report,"How many tours and from where, against How many sales and where from regardless if they toured yesterday or not", Written and (maybe) Full Down (TSP and SGR-classic), Stat Reports
- Weekly reports, "What are the number and value of sales thatbecame full down, or were written as full down this week? How many tours did we take against those?" (notice there is more of a separation of touring effect on sales), Full-Down (TSP and SGR-classic)
- Sales Payroll, "What are the sales that became eligible for payment that are Full-Down, became Full-Down, out of recision (for that state and product type), verified, deposited and cleared for payroll, in the current payperiod", Sales Payroll
- Yearly,"How much did we sell that we can take to the bank",Full down Stat reports (TSP SGR-classic).
Of course I reserve the right to be completely wrong about the whole thing.
